Reporting to the Group Finance Director, this role will be responsible for the delivery of routine maintenance and facility activities including the delivery of the business strategy on property.
ROLE ACCOUNTABILITIES
Purchasing
• Liaising with utility suppliers to provide quotations for the supply throughout the company.
• Responsible for the efficient consumption of company utilities, including publication of usage, recommendations for efficiencies and management of expenditure in line with company budgets.
• Responsible for obtaining quotes, establishing most appropriate suppliers, raising invoices and authorisation for payment for all consumables, building and maintenance work.
• Responsible for organising and negotiating appropriate maintenance contracts.
Maintenance
To manage the maintenance of all existing buildings.
To ensure all legislative inspections and tests are carried out within the specified time frames, with results and corrective action arranged and fully documented.
Responsible for maintaining full and robust records of statutory inspections as required by the Group’s insurance company and external agencies
Responsible for the service delivery of external contractors including cleaners, waste and security.
To organise and manage running repairs on all sites, as required.
To liaise with alarm companies to ensure that all buildings have full alarm cover, as required by the Group’s insurance company; that key holders are appointed and trained as appropriate.
This post holder will be the first port of call for the alarm company and will be responsible for appointing a designated senior person at each of the company’s premises
Health and Safety
• Assist Director’s and Managers to ensure the Company meets its statutory obligations in adopting safe systems of work through the preparation of clear, concise business standards.
• Accountable for pro actively identifying and resolving key safety risks.
• Develop, implement and review the (company) Health, Safety and Environmental Manual, ensuring the Company adheres to these standards and generic Safe Systems of Work are drawn up when appropriate.
• Responsible for ensuring the company’s health and safety standards are updated regularly, in line with statutory requirements, communicated and briefed to appropriate staff.
• To represent the company at Quarterly Group Health and Safety Meetings, including the collation and prioritising of all facilities action points
• To be the main point of contact with HSE, Environmental Health and any other legislative visits (i.e. Fire Brigade and Police)
• To maintain robust records of risk assessments, fire risk assessments, Health and Safety policy, fire Health and Safety policy and Permit to Work systems
• Responsible for the management of safe systems of work and control of contractors on site
• Responsible for the company fire plan and evacuation procedures
• Responsible for reporting monthly accident, near miss and health and safety concerns to the Board of Directors.
• Review accidents / incidents data to ensure root causes are identified and appropriate remedial actions are adopted.
• Oversee the Risk Management process/surveys for the Company.
Project Management
• To co-ordinate projects such as office expansions, show room developments to include the budget management, allocation of contractors, issuing of purchase orders, writing of specifications and the day-to-day management and co-ordination of the contractors on site.
• To research potential new sites for departments in line with company expansion plans.
